An unanswered estimate is easy to lose track of. A small, consistent process helps you stay useful without sending the same reminder forever.

Before you start

  • A record of the estimate and when it was sent
  • A clear next step, such as a call or booking link
  • Permission to contact the customer through your chosen channel

The process

  1. Give every estimate a home.

Keep open estimates in one pipeline stage. Record the estimate date and the person responsible for the next contact. Move accepted and declined estimates out of that stage.

  2. Choose a considerate follow-up.

Start with a short message two business days after sending the estimate. Offer to clarify the work, timing, or price. Treat this timing as a starting point to adapt to your sales cycle.

  3. Make the stopping rules explicit.

Stop the sequence when the customer replies, accepts, declines, books, or opts out. If there is no response, one final message the following week can close the loop. A reply should create a human task, not another automated sales pitch.

  4. Try the whole journey yourself.

Use a test contact to check each outcome before enabling a live workflow. In HighLevel, map the process to your own pipeline, workflow conditions, and permitted messaging channel. Confirm the actual controls available in your account.

Make this your own.

Replace the bracketed details and adapt the wording to your business.

Hi [first name], just checking that you received the estimate for [service]. Is there anything I can clarify about the work or timing? Happy to help. — [your name]

Test your setup

Use fictional customer details and your own test destinations before enabling a live workflow.

Measure replies and accepted estimates. A reminder being sent is an activity; a useful conversation is the outcome.

Keep the details current.
